Job Description:

We are seeking a proactive and detail-oriented Bilingual Admin Assistant (Finance Focus) to join our team. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. You will be responsible for supporting financial operations, ensuring smooth processes, and assisting various departments with finance-related tasks.

Responsibilities:

Financial Support:

  • Prepare and format financial reports, spreadsheets, and executive presentations.
  • Assist in tracking deadlines, deliverables, and compliance requirements related to finance.
  • Support accountants, auditors, and management with finance-related documentation and reports.

Administrative Support:

  • Maintain organized filing systems (digital and physical) for finance and related records.
  • Handle correspondence and internal documentation related to financial operations.
  • Assist in scheduling meetings, appointments, and coordinating financial activities.

Coordination & Communication:

  • Serve as a point of contact between finance and other departments to facilitate communication.
  • Assist in onboarding new employees with finance-related processes as needed.

Technical Skills:

  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Ability to prepare basic financial reports, spreadsheets, and executive presentations.

Personal and Professional Competencies:

  • Highly organized with strong attention to detail.
  • Discretion and confidentiality when handling sensitive financial information.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Proactive, reliable, and results-oriented.
  • Ability to work independently and collaboratively with accountants, auditors, and executive management.

Requirements:

  • Proven experience in administrative or clerical roles with a finance focus.
  • Strong organizational and multitasking skills with great attention to detail.
  • Excellent verbal and written communication skills (bilingual preferred).
  • Proficiency in office tools (e.g., Microsoft Office, Google Workspace).
  • Ability to work independently and collaboratively in a team environment.
  • Professional and positive attitude with a strong sense of discretion.

Preferred Qualifications:

  • Degree or diploma in Finance, Business Administration, or related fields.
  • Experience working in a corporate or fast-paced office environment.
  • Familiarity with administrative software (e.g., Trello, Notion, Slack, CRM tools).
  • Intermediate level of English or higher.
