We are seeking a proactive Administrative Assistant to oversee all daily bookkeeping functions, manage collections and partner billing, and handle operational administrative tasks. This role supports the company's financial and operational backbone during its growth stage and acts as the connective link between internal teams, resellers, and external accountants.
The ideal candidate is detail-oriented, highly organized, and bilingual in English and Spanish, able to thrive in a dynamic startup environment where flexibility and initiative are key.
Responsibilities Bookkeeping & Financial Operations
- Record and monitor daily transactions, including payments, invoices, and collections.
- Manage customer billing cycles and ensure accurate documentation for each account.
- Support external accountants with monthly reconciliations and transaction summaries.
- Track cash flow, expenses, and customer payments; promptly identify discrepancies.
Administrative & Operational Support
- Maintain and organize digital records, customer documentation, and billing correspondence.
- Prepare monthly financial and operational reports for management review.
- Perform data entry into CRM systems and ensure accuracy across dashboards.
- Coordinate with customers regarding billing inquiries and account updates.
- Manage internal communications, vendor coordination, and scheduling to improve operational efficiency.
Cross-department & Bilingual Communication
- Serve as a communication bridge between English- and Spanish-speaking teams and customers.
- Support customer correspondence with professional email templates and billing follow-ups.
Work Model
This position is offered under a contractor agreement (professional services contract) to be performed remotely .
This is not a traditional employment relationship, and therefore does not include local employment benefits. We're looking for a proactive, self-managed professional eager to grow in a dynamic international environment.
Qualifications
- Bachelor degree in Business Administration, Accounting, or a related field preferred.
- Minimum of 3 years of experience in administrative, financial, or operations roles in SaaS or service-based companies.
- Strong proficiency with Excel and accounting software (QuickBooks, ERP, or equivalent).
- Professional fluency in English and Spanish (written and spoken).
- Exceptional attention to detail and accuracy with financial data entry.
- Ability to work independently in a remote environment and manage multiple tasks effectively.
- Strong organizational, problem-solving, and communication skills.
Preferred Attributes
- Experience working in startups or tech-driven companies.
- Familiarity with SaaS billing and subscription models.
- Comfortable "wearing multiple hats" – from operations, to finance, to customer communications during ramp-up stages.
- Ability to optimize reporting and propose process improvement.
