About the Role

We are looking for a detail-oriented and highly organized Logistics & Operations Coordinator to support and manage logistics and operational processes for flower shipments from Colombia, Ecuador, and any new ports added.

This role works closely with farms, carriers (FedEx and UPS), cargo agencies, internal teams, and Flower Service, to ensure smooth operations, accuracy, and high-quality standards.

The ultimate goal is to have all shipments deliver smoothly, on time, and packed in the correct box. Any issues with this process needs to be handled by Candidate. Candidate must strive to improve all processes, create accountability, and raise expectations.

This is an 80% office-based position ideal for candidates with strong Excel skills, logistics experience, high attention to detail, and problem-solving abilities.

Attention to detail is imperative; mistakes made doing this job can have substancial negative implications. Candidate will sometimes travel to farms.

Key Responsibilities
Coordinate logistics between farms and carriers, ensuring accuracy and timeliness.
Create and manage daily shipping files and coordinations for all ports of export.
Solve all logistical novelties from prior day's shipments and coordiante all resolutions.
Document and problem-solve issues related to box packing (quality or quantity issues).

Serve as the main point of contact for all logistic-related inquiries and communications between carriers, Flower Service, farms, and internal clients.

Manage and process carrier credits related to delays, boxes that are not shipped, and damaged or lost boxes. Track all credits to confirm they are refunded.
Review and verify carrier invoices for accuracy and proper billing.
Assist Accounting Department with any invoice questions or issues.
Maintain and organize details around standing order (ST) shipments.

Set and maintain all packaging quality standards with our farms (at the direction of Farm Operations & Quality Control Manager).

Candidate will be required to fully understand how our products are packed and shipped, including which boxes are used for specific products.

Packing related issues between farm and Petaljet will require farm visits and direct contact with farm postharvest operations. Understanding the best box sizes to use for specific products will be a critical part of this job.
Document best practices for packing boxes and create packing guidelines for all farms and all products.
Maintain/build relationships with all farm postharvest managers and the workers that directly pack our boxes.

Requirements
Excellent work ethic and positive attitude.
Experience in logistics, cargo agency operations, or a similar office-based role.
Strong data organization and documentation skills.
Advanced Excel and office software skills.
Experience working with databases.
Strong problem-solving and analytical abilities.
Ability to manage multiple tasks and meet deadlines.
Ability to communicate clearly and concisely. English proficiency required (written and spoken).
Experience working with farms, logistics providers, or flower operations is a plus.
Car or truck and a valid driver's license for traveling to farms and cargo agencies.
